INTRODUCTION
These Terms and Conditions (“Terms”) form a legally binding agreement between Meraki Travels LLC (“Agency,” “our,” “us,” or “we”) and you (“you,” “your,” or “Traveler”). Each party is referred to individually as a “Party” and collectively as the “Parties.”
These Terms become effective when you: (1) sign digitally or in writing; or (2) submit payment authorization to Meraki Travels LLC.
By booking with us or using our services, you agree to be bound by these Terms. The most recent version of these Terms is always available at https://trips.merakitravelsllc.com.

DEFINITIONS
• “Booking” – A reservation made by the Agency on your behalf for your trip.
• “Supplier” – A third party providing travel services (airlines, hotels, cruise lines, etc.).
• “Traveler” – The individual(s) listed on the Booking.
• “Trip Plan” – The customized itinerary and pricing details we provide.
• “Travel Services” – All products and services related to your trip arranged by the Agency.
TRAVELERS’ RESPONSIBILITIES
You agree to review and understand all Trip details and correspondence, confirm acceptance of your Trip Plan in writing, make all payments according to the agreed schedule, stay informed about travel advisories, and ensure all travelers meet the age and documentation requirements.
You must be at least 18 years old to enter into this agreement and accept responsibility for all travelers listed on your Booking.
SUPPLIERS
Suppliers (e.g., airlines, hotels, cruise lines) are independent entities not controlled by Meraki Travels LLC. Each Supplier operates under its own terms and conditions, which govern your rights and responsibilities.
We are not liable for any Supplier’s delay, cancellation, modification, bankruptcy, negligence, or breach of contract. By paying for your Trip, you agree to abide by each Supplier’s policies.
TRAVEL RISK & INSURANCE
Travel involves inherent risks. We strongly recommend that you purchase comprehensive travel insurance covering trip cancellations, interruptions, medical emergencies, lost baggage, and Supplier defaults.
If you decline insurance, you assume all related financial risks. Meraki Travels LLC is not responsible for denied claims or insufficient coverage.
PRICING & PAYMENTS
Prices are based on inclusions outlined in your Trip Plan and are subject to change until full payment is received.
Quoted prices do not include government fees, visas, vaccinations, meals, upgrades, gratuities, or personal expenses unless explicitly stated.
Payments must be made according to your payment schedule. Late or missed payments may result in cancellation and loss of deposits. All deposits are non-refundable unless otherwise stated in writing.
CREDIT/DEBIT CARD AUTHORIZATION
By providing a card, you confirm that you are an authorized user and approve Meraki Travels LLC to process payments according to your Trip Plan.
You agree not to dispute valid charges (“chargebacks”) related to confirmed travel services except in cases of proven fraud. All disputes must first be addressed directly with Meraki Travels LLC.
CHANGES, CANCELLATIONS & REFUNDS
Changes and cancellations are governed by Supplier policies. Many travel services are non-refundable once booked.
Agency cancellation fee: $100 per person, in addition to any Supplier-imposed fees. All deposits are 100% non-refundable.
Refunds, if applicable, will be processed in accordance with Supplier terms and require written documentation.
TRAVEL DOCUMENTATION
You are responsible for securing all required travel documents, including valid passports, visas, vaccination records, and government authorizations.
Failure to obtain proper documentation does not qualify for a refund. All travelers must comply with entry, exit, and transit requirements of each destination.
TRAVELER CONDUCT
You are expected to maintain respectful and lawful behavior throughout your trip. Suppliers or tour operators reserve the right to deny participation or remove travelers for misconduct, safety concerns, or violation of rules—without refund.
SPECIAL NEEDS & ACCESSIBILITY
Please inform us before booking if you have mobility limitations, dietary needs, or other special requirements. We will communicate your requests to Suppliers, but fulfillment cannot be guaranteed. Meraki Travels LLC is not responsible for Supplier failure to accommodate accessibility needs.
HEALTH, SAFETY, & PANDEMIC ADVISORIES
Travelers must review and comply with all current CDC and U.S. Department of State advisories before and during travel. Regulations may change, and you are solely responsible for compliance. Certain destinations may require proof of vaccination or negative testing for entry.
LIABILITY DISCLAIMER
Meraki Travels LLC acts solely as an intermediary between you and Suppliers. We are not liable for any personal injury, property loss, death, cancellations, delays, missed connections, or Supplier insolvency.
Our total liability shall not exceed the total commissions earned from your Booking. All warranties—express or implied—are disclaimed to the fullest extent permitted by law.
INDEMNIFICATION
You agree to indemnify and hold harmless Meraki Travels LLC, its owners, agents, employees, and affiliates from any claims, damages, or expenses arising from your actions, breaches, or non-compliance with these Terms or Supplier policies.
FORCE MAJEURE
We are not liable for failure to perform obligations due to circumstances beyond our control, including but not limited to natural disasters, pandemics, labor strikes, government actions, or war.
GOVERNING LAW & DISPUTES
These Terms are governed by the laws of the Commonwealth of Kentucky, without regard to conflict-of-law principles.
All disputes shall be resolved in the state or federal courts of Jefferson County, Kentucky. Both Parties waive the right to a jury trial.
ENTIRE AGREEMENT
These Terms, together with your Trip Plan and our Privacy Policy, represent the entire agreement between you and Meraki Travels LLC and supersede all prior communications or agreements.
